3 Ways to Save Time, While Increasing Your Success as a Coach

If you want to enjoy more free time, or to pack more productivity into your work day, it's important to manage your time in a way that increases your results without increasing your working hours.

Here are three strategies you can use to raise your efficiency and productivity, so you complete your to-do list faster and get more benefit from your efforts.


Strategy 1: Use your calendar to organize your time

If you have an undefined chunk of time in which to complete a task, it's easy to let your mind wander, work slowly, and end up spending more time on that task than you really needed to.

​But if you have a specific time by which the task needs to be complete, it helps you to focus until it's done.

If the project is large and daunting, breaking it down into one-hour chunks in your calendar can also make it look less formidable, and decrease the temptation to procrastinate.

When creating your to-do list for the day, yourself a five to fifteen-minute break between scheduled tasks, so you can clear your head, go to the bathroom, grab a snack, or do whatever else you need to do without putting yourself behind schedule.

I find that it helps to have each day's schedule mapped out the day before. That way, you don't have to lose your start-of-the-day momentum by figuring out what to do next; you can just jump straight into the first task.

Strategy 2: Get help

If you're at a point where you're really busy, but you're not making much forward progress, look at your schedule and identify any tasks that fall into these two categories:

1. Unskilled busywork that anyone could do, even if they didn't have your level of training.

2. Highly skilled tasks that you are trying to do, but don't have the specialized training to do optimally.

Which of these tasks are taking up the most of your time?

In the case of skilled tasks, could you get a significant return on investment if you got a professional to do these tasks better than you can?

For example, if you don't have the time, skill or interest to manage your social accounts and to have enrollment conversations, a marketing and sales expert could help you to attract more clients through these avenues while freeing up your time.

In the case of unskilled tasks that you don't get directly paid for, can you outsource them for less than the money you would earn by performing paid tasks for the same amount of time?

It can be tempting to try to do everything by yourself, for fear that the person you delegate to might not do it right, or that you won't have enough money to hire someone.

But everyone who makes and sustains great success has a team supporting them, and if you try to be the exception to this rule, you'll just end up burning yourself out.

Nobody can reasonably expect to master EVERY field of expertise needed to run a highly successful business, and there's no shame in hiring someone who can do a better job in an area than you can.

Strategy 3: Serve more people in less time

​When you work with clients one on one, your income and impact on the world are limited by the number of hours in a day. If you want to make more money, you have to either raise your fees or work more hours.

However, if you create a group program that enables you to serve multiple people simultaneously, you can make more money, and help more people, in fewer hours - even if you charge less per person than you would for one-on-one coaching.

With a pre-recorded group program, you can automate the delivery of your materials, so people can use and benefit from your program with minimal effort on your part.

That doesn't mean you won't spend ANY time helping them - you should still include some type of Q&A, support or personal interaction in your program. But it does mean that you'll spend much less time working with each individual client, so you can help more people and make a bigger difference in the world.
